Never use “To Whom it May Concern” or “Dear or Sir or Madam”—nothing could be more generic (not to mention archaic). Your cover letter could be the first opportunity you have to make an impression on the hiring manager, so make sure you show that you did your company research.
The general greetings used in formal letters are “Sir” or “Madam”. If you know the name of the person the salutation may also be “Mr. XYZ” or “Ms. ABC”.
The complimentary close is the word (such as “Sincerely”) or phrase (“Best wishes”) that conventionally appears before the sender’s signature or name at the end of a letter, email, or similar text. Also called a complimentary closing, close, valediction, or signoff.
This handout outlines the 5 parts of a friendly letter – Heading, Greeting, Body, Closing and Signature.
